What belongs in a clear water damage report?
The reader should be able to understand what was observed, what was done and what supports the conclusion. Use this checklist before sharing a job report. It is not a certification of standards compliance.
Identify the job and the scope
Check the report is about the right property and period. A clear scope prevents an observation about one area being mistaken for a conclusion about the whole building.
- Property and job identifiers are correct.
- Visit dates and contributors are identifiable.
- The inspected areas and any access limitations are clear.
Make the evidence followable
A report can contain many images and still be hard to understand. Choose evidence that explains the work and use labels consistently.
- Room names match between notes, photos and readings.
- Images are legible and their purpose is clear.
- Readings include the context needed to interpret them.
- The sequence of work and equipment changes can be followed.
Check conclusions and distribution
Separate observations, interpretations and information supplied by other people. Confirm the recipient’s documentation requirements before sending.
- Conclusions are supported and limitations are stated.
- Unrelated personal information has been removed.
- The exported PDF has been visually reviewed.
- The intended recipient and shared content have been checked.
