Use an identifiable equipment record
Record enough detail to distinguish the equipment on the job. Keep naming consistent between the inventory, the site notes and the report.
Explain setup changes
When equipment is added, moved or removed, record the change and the relevant context. A later reviewer should not have to infer the sequence from photographs alone.
Check the handover
Review the equipment record alongside the visit notes before the next attendance. Confirm actual site conditions rather than assuming the previous record is still current.
